Project Coordinator
Position Summary:
As a member of the Asset Services team, the Project Coordinator supports the successful delivery of municipal capital projects from concept through to closeout, ensuring alignment with the City’s strategic priorities, approved scopes, budgets, and timelines.
The position reports to the Manager, Asset Services, who provides overall supervision and performance evaluation. Day-to-day operational oversight is provided by the Senior Project Manager and Project Manager.
This role offers the opportunity to remain fully engaged throughout the entire project lifecycle, providing support in contract management and construction inspection to ensure adherence with contract deliverables, plans, and technical specifications. The Project Coordinator will also exercise professional judgment in determining project execution requirements and milestones.
Key Accountabilities:

Maintain project administration functions, including budget and cost control, schedule tracking and preparation of progress reports.

Lead the setup, coordination, and agenda preparation for all internal and external project meetings, including public engagement sessions and stakeholder meetings.

Coordinate and track the full change management process by working with appropriate staff to manage contemplated changes, site instructions, and change orders.

Review design and construction estimates throughout the project lifecycle and provide recommendations to the Team Lead and/or Project Manager.

Coordinate the review of design and construction deliverables, assess completed work against contractual requirements, and process invoices and progress claims.

Conduct regular site inspections to verify conformance with project drawings and technical specifications.

Perform inspections at substantial completion, confirm outstanding work, and monitor and report deficiencies to the Team Lead and/or Project Manager.

Monitor corrective actions on warranty items and assist with managing project-related claims as needed.

Contribute to the development and documentation of project lessons learned, vendor performance evaluations, and risk management activities.

Maintain confidentiality and adhere to City policies and procedures.

Promote workplace safety and participate in emergency response planning if required.

Required Education and Experience:

Bachelor’s degree or diploma in Engineering, Business, Project Management, or a related field.

A minimum of 1 year of experience in capital project management, infrastructure delivery or construction management.

Previous experience within a municipal or public-sector environment is an asset.

Familiarity with public procurement processes and contract administration is an asset.
Required Certifications and/or Documentation:

CAPM or related project management training is considered an asset.

Engineer-in-Training (EIT) or C.E.T. designation is considered an asset.

Valid Class 5 Alberta Driver’s Licence and satisfactory Driver’s Abstract.

Satisfactory Criminal Record Check.
Expected Skills and Attributes:

Basic understanding of project management principles including scheduling, budgeting, risk management, and change
control. -
Basic knowledge of municipal infrastructure design, construction practices, and relevant Alberta legislation (e.g.,
Safety Codes Act, Water Act, Municipal Government Act) -
Proven ability to meet deadlines in a fast-paced environment.

Ability to manage priorities while supporting multiple managers or cross-functional teams.

Strong written and verbal communication skills.

Ability to follow instructions and execute tasks independently.

Positive attitude and openness to feedback and direction.

Familiarity with project management software, scheduling tools, GIS systems, ERP and financial management systems is considered an asset.

Detail-oriented and motivated to grow professionally within a municipal environment.

Ability to work under general supervision while developing greater independence over time.
Working Conditions:

Office environment with extended periods of sitting, reading and concentration.

Field visits to construction sites will be required.

Location: City Hall
Compensation: Pay Grade will be determined by position placement.
Pay: $33.40/hr (you'll find the detailed information in Appendix A of the draft collective agreement)
