Lac La Biche County is seeking a highly professional and strategic Executive Assistant to provide confidential executive-level support to the Chief Administrative Officer (CAO). This key position plays an integral role in supporting corporate leadership, Council relations, and organizational priorities that advance the County’s vision and long-term success.

The ideal candidate is an experienced administrative professional with exceptional judgment, political acuity, and the ability to thrive in a fast-paced municipal environment.

Key Responsibilities

Executive & Administrative Support

  • Manage the CAO’s calendar, priorities, correspondence, and workflow
  • Coordinate meetings, agendas, briefing materials, and executive schedules
  • Prepare reports, presentations, letters, and confidential correspondence
  • Track action items, deadlines, and follow-up activities

Council & Governance Support

  • Assist with Council briefing materials and governance documentation
  • Support communication between the CAO, Mayor, and Council
  • Coordinate logistics for Council meetings, strategic sessions, and public engagements
  • Maintain strict confidentiality on governance and strategic matters

Strategic Coordination

  • Support implementation and tracking of Council strategic priorities
  • Coordinate cross-departmental initiatives led through the CAO’s office
  • Monitor key deliverables, timelines, and performance indicators

Communications & Stakeholder Relations

  • Serve as a liaison between the CAO’s office, departments, stakeholders, and the public
  • Draft and review speeches, briefing notes, and executive communications
  • Coordinate meetings with government officials, industry representatives, and community partners

Records & Confidential Information Management

  • Maintain organized and secure records management systems
  • Handle sensitive and confidential information with professionalism and discretion
  • Ensure compliance with municipal policies and legislative requirements

Qualifications & Competencies

Qualifications

  • Diploma or degree in Business Administration, Public Administration, or a related field
  • Minimum of five (5) years of senior administrative or executive support experience
  • Municipal or public-sector experience is considered an asset

Working Conditions

  • Fast-paced environment with changing priorities and competing deadlines
  • Occasional evening and weekend work may be required to support Council meetings and events
  • High level of confidentiality and professionalism required at all times

Position details:

  • Permanent full-time position
  • On site location: Lac La Biche, Alberta (must be willing to relocate)
  • Days/Hours: Based on 1820 hours annually with a 7 hour workday, Monday to Friday, from 8:30 a.m. to 4:30 p.m. Additional hours may be required in the evenings or weekends for emergency duties or special projects.
