Accounts Payable Clerk
Position Summary
Reporting to the Accounting Supervisor, the Accounts Payable Clerk is responsible for performing accounting duties and maintaining information related to Accounts Payable for Yellowhead County. This position will assist the General Manager of Corporate Services and the Accounting Supervisor with all financial and clerical duties as assigned.
Position Responsibilities
Accounts Payable
- Maintain all accounts payable records, verify invoices, match with purchase orders. Check that proper coding and signatures are on all invoices prior to processing;
- Prepare and compute all accounts payable batches;
- Review to ensure that Workers Compensation Clearance letters are attached to invoices when necessary;
- Prepare accounts payable batches for electronic fund transfer and upload files to the bank for payment;
- Prepare cheque batches up to the point of mailing or distribution;
- Check vendor statements and obtain further information or copies of invoices from supplies when required;
- Maintain communication with all staff to facilitate the preparation and processing of accounts payable invoices;
- Investigate and advise on all accounts payable inquiries;
- Maintain and verify holdback records to be given to Accounting Supervisor for year-end procedure;
- Submit the holdback report for General Manager every second month;
- Maintain accurate inventory of purchase orders for use by departments;
- Implement the set up of and maintain the automatic debits for credit card and utility invoices;
- Prepare the Accounts Payable monthly reconciliation; and
- Prepare and assist in completing the year-end functions for the accounts payable system.
General
- Assist the public in a pleasant and efficient manner;
- Assist with the telephone and reception duties, including cash receipting, on a relief basis;
- Check the cash receipts and prepare and deliver the bank deposit as required;
- Maintain a current Procedural Manual;
- Assist in any other related duties as assigned by the General Manager of Corporate Services or Accounting Supervisor; and
- Participate and assist in a positive manner as a team member in all operations of Yellowhead County.
Qualification, Knowledge, Skill & Ability Requirements
- Two (2) year college Diploma in Accounting, Finance or equivalent;
- Three (3) years experience working with computers, namely thorough understanding and workable knowledge of the Microsoft Office Suite;
- Three (3) years experience with accounts payable software packages;
- Three (3) years of municipal or similar office experience;
- Strong organization and prioritization skills;
- Strong interpersonal and communication skills;
- Pleasant phone manners and excellent customer service skills;
- Ability to maintain confidentiality with respect to all matters pertaining to Yellowhead County;
- Experience in Great Plains Dynamics, Diamond Software;
- The incumbent must provide a Police Record Check;
- The incumbent must provide a clean Driver’s Abstract; and
- The incumbent must hold a Defensive Driving certificate completed within the last five (5) years.
Working Environment
- Work is conducted in an open office environment;
- Manual dexterity required to use desktop computer and peripherals; and
- High intensity visual attention, continuous data entry.

The salary range is $63,506 to $78,747 per year. Yellowhead County offers a competitive benefits package.
