UNDERWRITING ASSISTANT

The Underwriting Assistant provides administrative, analytical, and technical support to the underwriting process. This role is responsible for assisting with all aspects of the underwriting process — from gathering information and preparing documentation to coordinating renewals and maintaining policy data — ensuring timely, accurate, and compliant service delivery to clients, brokers, and internal stakeholders.

Know-How

Practical / Technical Knowledge

  • Education: Diploma or Degree in Business, Insurance, Finance, or a related field.
  • Experience: 3 years of experience in insurance, underwriting, or risk management support preferred.
  • Technical Skills:
    • Proficiency in MS Office (Excel, Word, Outlook, PowerPoint).
    • Experience with underwriting or policy management systems.
  • Knowledge: Intermediate understanding of property, casualty, and auto insurance principles.

Preferred Assets

  • Progress toward professional insurance designations (CIP, CAIB, CRM, or equivalent).
  • Experience supporting commercial or municipal insurance programs.
  • Familiarity with compliance and documentation requirements in underwriting operations.

Responsibilities

Underwriting Support

  • Assist underwriters with reviewing, analyzing, and processing new and renewal insurance applications.
  • Gather and verify underwriting information such as loss runs, inspection reports, valuations, and financial statements.
  • Prepare underwriting files and maintain detailed documentation to support decision-making.
  • Draft quotes, binders, and proposals for underwriter review and approval.
  • Conduct preliminary risk assessments and identify missing information for follow-up.
  • Assist in documenting informal underwriting processes and support improvements in the current underwriting processes.

Policy Administration

  • Prepare and issue insurance policies, endorsements, certificates, and renewal documents accurately and on time.
  • Update policy management systems with correct terms, limits, and coverage details.
  • Process policy changes, cancellations, reinstatements, and amendments in coordination with brokers and clients.
  • Ensure all documentation complies with internal underwriting processes and guidelines.

Insurance Advisor & Member Coordination

  • Serve as a point of contact for Insurance Advisors and members for routine inquiries and documentation requests.
  • Communicate underwriting requirements and gather outstanding information from insurance advisors.
  • Track submissions and maintain clear communication throughout the underwriting and renewal process.
  • Support the distribution of quotes, binders, and policy packages to Insurance Advisors and members.

Reporting & Data Management

  • Maintain accurate logs and databases of active accounts, renewals, and pending submissions.
  • Assist in preparing underwriting reports, production summaries, and performance metrics.
  • Monitor upcoming renewal dates and coordinate renewal workflow with the underwriting team.
  • Support audits and internal quality assurance reviews by providing data and documentation as required.

Operational & Team Support

  • Assist with meeting coordination, agenda preparation, and documentation of underwriting discussions.
  • Support cross-functional projects involving claims, finance, or risk management teams.
  • Identify process inefficiencies and recommend improvements to enhance underwriting workflow.
  • Provide back-up support for other administrative functions during peak periods or absences.
  • Maintain confidentiality of client information and adhere to data protection standard

Analytics

  • Perform efficient data extraction and transformation to support business and analytical needs.
  • Develop/support various models for financial and business analyses.
  • Provide data to support key performance indicators in the insurance team’s business plans.
  • Receive and prioritize requests for data reports and information.

Supporting key Initiatives related to to our inhouse Insurance Reciprocal Exchange

  • Work on/support key strategic initiatives related to the Reciprocal and our Insurance Program.
  • Assist Head of Underwriting as they Liaise with the Principle Attorney and the finance team for key action items related to The Reciprocal .
  • Support the development of pricing and risk models for the Reciprocal based insurance program,.
  • Support the underwriting requirements for the annual renewal process

Support the day-to-day Underwriting needs for the Insurance Program

  • Assist the Head of Underwriting in day-to-day requirements for Underwriting.
  • Support pricing build outs for our members.
  • Support the underwriting work required for responding to RFPs.
