Job Description

Reporting to the Chief Executive Officer (CEO), the Director, Executive Coordination is a key resource to the executive team, providing strategic support and leadership across the organization. This role manages the office of the CEO, supports and ensures efficient operations of the executive team, facilitates cross-department integration, and supports key strategic initiatives.
This role includes significant exposure to ABmunis executives, senior leaders, and board and committee members. This role supports the CEO and Executive team by contributing to strategic initiatives, optimizing executive and inter-departmental operations, and ensuring appropriate integration across departments. This role requires exceptional tact and strong interpersonal skills, significant experience leading others, and an agile and systems thinking approach that can balance strategic thinking with hands-on execution. The role does include significant administrative accountabilities related to: workflow management, agenda development and follow up, facilitating management level performance and reporting, and supporting activities related to strategic engagement. The primary objectives of this role will be to: ensure effective administrative leadership in the office of the CEO, keep the CEO informed and accessible to tend to organizational priorities, facilitate coordination across ABmunis’ various departments, support organizational continuous improvement initiatives, and contribute to select strategic initiatives. The position plays a supportive role to each executive officer and is expected to offer advice and assist with communication, planning, and coordination across departments and with the office of the CEO.

Know-How
Practical/ Technical Knowledge
•    Graduate University degree. Business or Public Administration are most applicable and other equivalencies may be considered.
•    7 or more years direct experience in strategic planning, and/or management including direct experience organizing and directing multiple teams.
•    5 or more years of senior management experience.
•    Experience with planning and leading strategic initiatives.
•    Experience with policy, procedure, bylaw writing, governance standards, models, and tools would be beneficial.
•    Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point).

•    Strong change management, innovative problem solving, and good judgment skills.
•    Ability to apply systems thinking and process management to analyze organizational workflows, optimize efficiency, and align processes with strategic objectives.
•    Effective project management skills and ability to be self-directed to manage multiple priorities, organize workload for self and others, and meet deliverables with quality response.
•    Well-developed research skills, comprehensive report writing, analysis and ability to present results to all levels in the organization.
•    Ability to take initiative and be flexible and responsive to changing priorities and circumstances.
•    Strong political sensitivity and acumen to grasp and effectively respond to political conditions.
Communicating and Influencing Skills
•    Nimble business mind, focusing on developing creative solutions.
•    Excellent leadership skills with a strong ability to motivate, coach, and effectively manage team performance with a positive “get it done” attitude.
•    Exceptional tact and strong interpersonal, communication, and presentation skills while working with sensitive and confidential information.
•    Leadership and interpersonal skills such as consultation, facilitation, interest-based negotiation and team building to promote new concepts and influence clients and stakeholders to resolve issues and/or adopt innovative ideas.
•    Demonstrated ability to establish and maintain relationships in a complex and dynamic environment.


Responsibilities
•    Serve as liaison with staff, executives, senior leaders, and the CEO regarding company climate, employee well-being, project updates, proposals, and planning.
•    Develop and build on relationships with all employees to contribute to a positive organizational culture.
•    Contribute to improved administrative and organizational operations by working with the CEO and other executives to identify and implement high reward opportunities.
•    Provide regular status updates on special projects to the CEO and facilitate access to the CEO for approvals when necessary.
•    Serve as a subject-matter expert for executive operations, handling inquiries, developing action plans, and assisting with preparation and dissemination of communications.
•    Develop value-added briefing materials and supporting documentation that describe the impacts of the business plan strategies for presentations to executive officers, staff, boards and stakeholders.
•    Providing guidance and strategic advice to executive officers and senior management to assist in their decision making process around the scope and suitability of information for the organization’s strategic and business plans.
•    Responsible for providing business research as required to support the organization’s strategic considerations.
•    Responsible for developing processes, tools and templates to assist business areas with the development of new performance measures and business analytics.
•    Work with executive team and the project management office to ensure effective performance measures and targets are in place, relevant, and supporting management and board insights for data-informed decision making.
•    Attend meetings to maintain organizational and operational awareness, and ensure timely distribution of reminders, recaps, and follow-ups to the CEO, other executive officers, and relevant attendees.
•    Lead efforts to address complex challenges and provide strategic advice, ensuring that initiatives support the company’s overall objectives. Develop and implement strategies that drive organizational growth and efficiency.
     •    Integration Management: Coordinate and align cross-functional efforts, ensuring departments work cohesively and initiatives are embedded into daily operations.
     •    Strategic Connector and Enabler: Act as a facilitator to align people, processes, and priorities to drive organizational effectiveness.
     •    Meeting Coordination: working with EA, CEO Office, assist in preparing materials, agendas, and ensure follow-up on action items for required 

Base pay range

CA$100,000.00/yr - CA$145,000.00/yr
