Job Description

Sturgeon County is recruiting for an experienced Administrative Assistant who is friendly, organized, technologically savvy and able to succeed under pressure with poise and professionalism. This position provides administrative assistance to the Chief of Staff and the Executive Assistant team to maximize administrative support for the organization. 

Job Duties:

  • Assisting with calendar management for Council to schedule appointments, plan meetings and coordinate activities.
  • Assemble, prepare and distribute material and information, as required, for meetings, conferences, etc.
  • Review incoming correspondence, forwarding matters to the attention to the appropriate individual and following up as necessary.
  • Completing registrations for events and conferences, making travel and accommodation arrangements as requested.
  • Prepare correspondence, reports, agendas, minutes and supporting documents.
  • Responsible for supporting the County's Records and Information Management Program through the maintenance, control, and disposition and digitization of records.
  • Provide coverage for and/or assist with Executive Assistant(s) and Chief of Staff responsibilities at times.
  • Serve as a point of contact and collaboration for members for Council and County Administration, other levels of government, media and the public.
  • Prepare expense claims for Council, reconcile and code corporate credit card.  
  • Responsible for the department invoicing practices. Ensure proper coding and collecting authorized signatures. 
  • Other related duties, responsibilities and projects as assigned by the Chief of Staff.
  • Act as a Commissioner for Oaths as required. 
  • Adhere to applicable responsibilities and accountabilities as outlined in the Sturgeon County Health and Safety Management System.

Job Qualifications & Skills:

  • This position requires a high school diploma and/or post-secondary training or certificate in Office Assistant or 2 years of relevant experience in a similar role or equivalent within a professional office setting.
  • Relevant experience in Municipal or Provincial government or other public sector organization is an asset.
  • Excellent organizational and time management skills along with highly developed problem solving and analytical skills.
  • Exceptional customer service.
  • Ability to work individually and as a team.
  • Outstanding communication, interpersonal and relationship building skills.
  • Strong attention to detail and a keen eye for accuracy.
  • Ability to maintain confidentiality when dealing with sensitive situations and/or information.
  • Apply a forward-thinking approach while working to ensure that processes are efficient and operating as intended. 
  • Proficient in Microsoft Office, Adobe Pro, Microsoft Teams.
